Scheduling a Recurring Meeting

Set up a weekly, every-two-weeks, or monthly series of mentoring meetings in one step, and learn how to change or cancel one occurrence.

A recurring meeting saves you from booking every session by hand. You pick a cadence and an ending, and MentorStack creates all the meetings at once. Either person in an active match can set one up.

Create a recurring series

  1. Open Meetings in the sidebar and click Schedule Meeting. You can also click it on the Meetings tab of a match. If the button is disabled, you have no active match yet.
  2. If you have more than one active match, choose it under Match.
  3. Add an optional Title, such as "Monthly check-in".
  4. Choose the Date and Time of the first meeting. The time uses the timezone shown beside the label.
  5. Choose a Duration: 15, 30, 45, or 60 min.
  6. Turn on Repeat this meeting.
  7. Under Frequency, choose Weekly, Every 2 weeks, or Monthly.
  8. Under Ends, choose how the series stops:
    • After N meetings: enter the Number of meetings. The minimum is 2, the maximum is 52, and the form starts at 6.
    • On a date: choose an End date.
  9. Click Schedule Recurring Meetings.

MentorStack shows "Recurring meetings scheduled" and tells you how many meetings it created. If you and your match both connected a calendar, the Find available times panel suggests open slots for the first meeting. See Connect your calendar.

How a series behaves

Each meeting in the series is its own meeting. It has its own reminder email, its own summary, and its own action items. In the meeting list, every meeting in a series shows Part of a recurring series.

  • Reschedule moves one meeting. The other meetings stay where they are.
  • Cancel Meeting cancels one meeting. The rest of the series stays.
  • To stop a whole series, cancel each remaining meeting.

Note

There is no single control for editing a series. To change the time of every meeting, reschedule each one, or cancel the remaining ones and create a new series.

Schedule the next meeting after a wrap-up

After you finish Wrap up this meeting, MentorStack asks "Schedule the next one now?" Click Schedule next meeting to open the schedule form again, or Not now to close it. If the meeting you just wrapped up belonged to a series, Repeat this meeting is already on with the same frequency.

If the form shows an error

  • "Meeting must be scheduled for a future date and time": pick a later first meeting.
  • "Please choose an end date for the recurring series": add an End date, or switch to After N meetings.
  • "Number of meetings must be at least 2": a series needs two or more. Turn off Repeat this meeting for a single meeting.
  • "That end date would create more than 52 meetings": choose a shorter range or a number of meetings.
  • "The selected end date produces only one meeting": pick a later date, or schedule a single meeting.

Tip

Pick a cadence both of you can sustain. Reminders, calendar events, and follow-ups are created for every meeting in the series. If MentorStack cannot set up reminders or calendar events for some of them, it tells you after you click the button.
