Reviewing Suggested Matches

Review, change, approve, or reject the mentor proposals MentorStack generates for unmatched mentees. A help center guide for program admins.

In Admin-Guided matching, MentorStack proposes one mentor for every unmatched mentee. The Suggested Matches page is where you review those proposals. You can approve them one at a time, approve a selection, approve all of them, change the mentor, or reject a proposal.

Note

Suggested Matches only opens when your organization uses Admin-Guided matching. In Self-Select mode, the page sends you back to Matches. Only admins can open it. There is no plan gate on this page.

Open the page

Use either route:

  • On the Matches page, click Suggested Matches. The button only shows in Admin-Guided mode.
  • On the dashboard, click AI-suggested matches to review in the pending actions list. It shows when proposals are waiting.

To change your matching mode, see Configuring Matching.

Which mentees get a proposal

A mentee gets a proposal when all of these are true:

  • The mentee is an active member with the Mentee role.
  • The mentee has no pending or active match.
  • The profile has a name, a seniority level, availability, and at least one goal or aspiration.
  • The mentee has at least three skills on their profile.
  • At least one mentor passes the matching filters, such as mentor capacity.

A mentee who does not meet these rules does not appear. If a mentee is missing, check their profile first.

If many mentees are unmatched, the page shows the longest-waiting 200 and tells you how many exist in total. Approve or reject some, then click Refresh to load the rest.

What each proposal shows

Each card shows the mentee, an arrow, and the proposed mentor. It also shows:

  • A % match badge with the overall score.
  • A short written reason for the pairing.
  • Badges for the skills the mentor covers.
  • A bar for each scoring factor: Skills, Goals, Seniority, and Availability. A Cross-functional bar shows when your organization has that signal turned on.

Scores use the weights you set in Configuring Matching.

Review and approve

  1. Open Suggested Matches.
  2. Read each card. All cards start selected.
  3. To change the mentor, click Edit mentor, choose a person from Select a mentor, then click Done.
  4. To approve one proposal, click Approve on its card.
  5. To approve several, clear the check box on any card you want to leave out. Then click Approve Selected. The button shows how many cards are selected.
  6. To approve everything, open the arrow beside Approve Selected and choose Approve All. The dialog asks Create N matches? and says each participant will be emailed a notification. Click Approve All to confirm.

A new match starts as Pending. The mentor then accepts or declines it. For what happens next, see Managing Matches.

Warning

Edit mentor lets you pick any active mentor in the list. The pick skips the mentor's accepting-mentees setting and capacity, so you can place someone on purpose. A changed pairing loses its score and shows no breakdown, because it is a custom pairing and not a scored proposal. The plan limit on active matches per person still applies.

Reject a proposal

Click Reject on a card, or select cards and click Reject Selected. To reject every proposal, open the arrow beside Reject Selected and choose Reject All.

A rejection only removes the card from your screen. MentorStack does not save it. After Reject Selected or Reject All, a message with Undo appears. If you leave the page or click Refresh, rejected proposals come back, because the mentee is still unmatched.

Refresh the list

Click the Refresh button (the circular arrow) to regenerate proposals. This resets your selection and brings back any cards you rejected.

If an approval fails, the page names the mentee and the reason. During a batch, one failure does not stop the others. You see a summary such as 3 created, 1 failed and can click Refresh and try again.

If the page is empty

The page says No suggested matches right now when every mentee already has a match or has no eligible mentor. Check again after more mentees or mentors join.
