Mentor Matching Software: What to Look For Before You Buy
Most vendors say they match well. The claim is easy to make and hard to compare. This post gives you ten questions that make vendors show their work. Ask them on a demo call or in a free trial. They apply to any tool, including ours.
For the wider category, see what employee mentoring software is. For matching theory without a product, read mentor matching best practices.
What inputs does the matching use?
Ask what the software knows about each person before it scores a pair. Skills, goals, seniority and availability are the usual four. Ask how people enter them and how often they can change them.
Thin inputs give thin matches. If the only data is a job title and a department, the software is doing little more than a spreadsheet filter.
MentorStack scores four things on every plan: skills, goals, seniority and availability. On the Growth plan and above, when the organization turns it on, it adds cross-functional pairing, which uses department only. It does not match on demographic attributes.
Can you see why a pair was suggested?
You will have to explain a match to a participant who asks, "Why me and her?" A bare percentage will not do. Ask to see the factors behind each suggestion, and ask whether you can adjust their weights.
In MentorStack the weights for skills, goals, seniority and availability are sliders that add to 100 percent. Admins set them for the organization.
Can an admin review and override?
This is the question that separates a tool you can trust from one you must hope about. Ask whether suggestions go out automatically or wait for approval. Ask whether you can swap a mentor before approving, and whether you can approve one match, a selection, or a batch.
MentorStack has two matching modes. In admin-guided mode, AI-suggested matches wait in a queue. You adjust them and approve. In self-select mode, mentees see recommendations and choose. You pick the mode that fits your culture.
How does it handle mentor capacity?
A mentor with eight mentees is a mentor who has stopped mentoring. Ask whether you can set a default capacity, change it per mentor, and cap the number of mentors per mentee. Ask what happens when a mentor reaches the limit.
Which formats does it match?
One-to-one is the baseline. Ask about group, peer circle and reverse mentoring if you plan to run them. A tool that only does one-to-one will need a second system the day you add a format.
MentorStack matches one-to-one, group, peer circle and reverse on every plan. See mentoring formats for how each is set up.
What happens after the match?
A match is the start of the work. Ask what the software does in week three. Does it remind people to meet? Does it show you which pairs have not met? Can you send a prompt to both people from one screen?
MentorStack flags pairs that have gone quiet on the admin dashboard and lets you nudge both people with one click. It does not re-pair people automatically. You decide whether a quiet pair needs a push, a conversation or a change. That call depends on context the software does not have.
What does reporting cover, and on which plan?
Ask what the admin can see and what can be exported. Ask which plan includes it. Ask whether a leader can read a report without logging in.
In MentorStack, a basic dashboard is on the Free Pilot. Report generation and export start on Starter. Scheduled reports start on Growth. See the analytics features.
How much setup does the owner carry?
Ask how participants get in: bulk invite, a public application form, an HRIS sync, or manual entry. Ask who does the setup, how long it takes, and whether there is a services fee. A lean team needs a tool it can run alone. A larger program may want guided onboarding and should pay for it knowingly.
Vendors differ here, and neither approach is wrong. Together, MentorcliQ, Chronus and Qooper each offer more guided or service-led support, which suits teams that want it. Our comparison pages set out the differences without spin: MentorStack vs Together, vs MentorcliQ, vs Chronus and vs Qooper. Check each vendor's own site for current details before you decide.
What does it cost at your size?
Ask for the price at your real participant count, in writing, for a year. Ask what changes at renewal and what counts as a participant. Published pricing makes this easy. If a price is only available after a call, plan for that time.
Work out your own total with the free budget calculator. It adds software seats, owner time, events and recognition, using your numbers. The mentoring software cost guide compares published entry prices checked on 2026-10-03.
What should you ask about data and access?
A mentoring tool holds goals, notes and messages, so ask where data is stored and who can see it. Ask about single sign-on, data export and deletion. MentorStack supports SSO on the Growth plan and above, through SAML or OAuth, and does not offer SCIM provisioning. Check the vendor's privacy policy and data processing agreement against your own requirements, and ask your security team to read them before you sign.
Can you test it with real people?
The best check is a small real cohort. MentorStack's Free Pilot covers up to 10 participants with no time limit and no card. Run ten people through matching, a first meeting and the 30-day check-in. You will learn more than from any demo.
How do you compare vendors in practice?
Write the ten questions in a table, one column per vendor. Fill it in from demos and trials, not from web pages. Score only what you saw. Share the table with your executive sponsor so the choice rests on stated criteria.
If you run a pilot that is reaching its limit, start with how to scale a mentoring pilot. If you are starting out, how to start a mentorship program covers the steps before software matters.
Common questions
- What should mentor matching software do?
- It should collect what each person wants and offers, score possible pairs on stated criteria, show you the reasoning, let an admin review and change the result, respect mentor capacity, and support more than one mentoring format. It should also show you which matches have gone quiet after the pairing.
- Is AI matching better than a questionnaire?
- Not by itself. A questionnaire gathers the inputs, and the matching method scores them. What matters is whether you can see why a pair was suggested and change it. A score you cannot inspect is hard to defend to a participant who asks why they were paired with that person.
- Should matching be automatic or reviewed by an admin?
- For a company program, review the matches before they go out. Software can rank suggestions and save you the comparison work. A person who knows the participants should approve them. MentorStack's admin-guided mode works this way: suggestions wait in a queue, and you adjust and approve them.
- How much does mentor matching software cost?
- Vendors price per participant, by a flat monthly band, or by annual contract. MentorStack publishes its prices: a Free Pilot for up to 10 participants, then per active participant per month. The mentoring software cost guide compares published entry prices checked on 2026-10-03.
