Mentoring Program Planner

Estimate the matches, meetings and admin time a mentoring program needs, from your own numbers.

What is a mentoring program planner?

A mentoring program planner turns your participant numbers into the workload of running the program. Enter participants, how many join each format, group and circle sizes, meetings per month and admin minutes per match. It returns the matches to manage, the meetings to schedule and the admin hours each month, using only your numbers.

Enter your numbers

Participants in each format

Not counting the mentor.

Cohort length and pair term can differ. The cohort is the program's time box, and the agreement a pair signs sets its own term.

Choose a cadence that both people can sustain. Monthly meetings are a practical minimum to test, and every two weeks can be a useful starting point when schedules allow.

Your own estimate of matching, follow-up and reporting time.

Assumptions and formula

1:1 matches = participants in 1:1 / 2. Reverse matches = participants in reverse / 2.

Group matches = participants in group / (1 + mentees per group).

Circles = participants in circles / circle size. Each result rounds up to a whole match.

Meetings per month = total matches x meetings per match per month, rounded up to a whole meeting.

Admin hours per month = total matches x admin minutes per match / 60.

Meetings over the cohort = meetings per month x cohort length in weeks x 12 / 52, rounded up to a whole meeting.

Every figure comes from the numbers you enter. The planner uses no benchmark or industry figures. A group counts as one match with one set of meetings.

How many matches does a mentoring program need?

It depends on the format. A 1:1 match takes two people, a group takes one mentor and the mentees you set, and a circle takes the peers you set. Enter how many participants sit in each format and the planner rounds each one up to whole matches. Meetings per month and per cohort also round up to whole meetings.

What should I do with the admin hours?

Compare the hours with the time your program owner has. If the number is above it, the program has reached its coordination capacity. To price the program, use the mentoring program budget calculator.
